Event booking terms and conditions.

Event – Pontefract Civic Society Classic and Vintage vehicle exhibition

Date of event – Saturday 12th June 2027

Location – Pontefract Town Centre (Precise details of location will follow confirmation of attendance)

Entry is FREE to all vehicle owners/exhibitors
There will be family entertainment during the day within the town centre.
All town centre businesses will be open for trade.
The regular Saturday market will be operating alongside the vehicle exhibition
There will be a large indoor craft fair in the town hall and assembly room during the day.
Stewards, first aid and security staff will be on duty throughout the day

Data Protection statement and Image / Personality rights

By completing the booking form, the applicant gives consent that Pontefract Civic Society (the ‘event organiser’) can process the data provided within the framework of the event and allow photographs to be taken during the event for use at their discretion, but not for commercial gain without prior permission.

Booking conditions

1. All equipment brought onto site by the applicant will be fit for purpose, and, where relevant, correct testing and insurance will be in place.
2. All vehicles will be street legal with relevant MOT TAX and or testing as required (unless previously agreed with the event management).
3. The applicant will have fully comprehensive insurance for their vehicle and actions.
4. Vehicles must be self-propelled and not trailered or towed in (unless previously agreed with the event management).
5. Once in situ, engines are to be switched off for the duration of the event, until a vehicle leaves the event location.
6. The applicant will comply with all Health and Safety PPE and emergency procedures, etc. relevant to their activities. The applicant will be responsible for any volunteers or employees that are working on their behalf.
7. By confirming this booking, you agree that Pontefract Civic Society may retain your contact details to process the booking, issue your location and confirmation via email, to keep you notified of any important updates about the event.
8. Your contact details will be used only for the purpose of this event and similar events run by Pontefract Civic Society in the future. We will retain your data for a period of up to six years for accounting purposes and this information will not be shared with any third parties.

Event Organiser Disclaimer

1. I acknowledge that there are risks involved inthe event. I fully realise the dangers of participating in the Event, and fully assume responsibilities for the risks associated with;

• my participation and for my wellbeing and safety during and after the event, and
• that of others who I may affect during my or of my representatives’ attendance.

I understand and acknowledge that the event organiser (including all officials and event volunteers) provides no warranties regarding my wellbeing and safety for my activities.

2. I understand and agree that situations may arise during the event, which may be beyond the immediate control of the event organiser (including all officials and event volunteers).
3. I will participate in the event in a manner that does not endanger either myself or others.
4. I agree that to the extent permissible by law, the event organiser (including all officials and event volunteers), any sponsors and other parties associated with the event, have no liability to me whatsoever for any direct or indirect loss, (including, but not limited to injury or death) sustained by me during or in any way related to my participation in the event.
5. I accept that all precautions to reduce risks to the public and my attendance or those attending on my behalf or associated with my presence at this event will be undertaken and any public liability for incidents or actions associated to my or representatives’ attendance will remain with me and not with the officials or the event.
6. The event is to be held in a public space, and it is expected to attract photography, video, broadcasting, promotion, advertising and social media activity. I understand that if this should include me or my vehicle, this would be without payment or other form of compensation to me/us (unless prior agreement is reached with Event Management).
7. I agree to comply with the rules and regulations pertaining to the event.
8. I agree to follow all reasonable safety instructions provided to me by the event organiser (including all officials and event volunteers) before, during and after the event.
